A 30-Second Member Health Check: What Your Renewal Report Can't Tell You
Most association leaders can answer this quickly:
How many members renewed last year?
The harder question is:
Do you know which members are drifting away now?
Renewal is the outcome of months of changing behavior. By the time a member doesn't renew, the signals may have been visible for months.
In This Edition
✓ The 30-second member health check
✓ Why declines can matter more than inactivity
✓ How member changes can affect renewal
✓ Where better visibility can help
The Framework
The 30-Second Member Health Check
Take any active member and look at these 5 signals together:
Are they participating, attending, learning or using benefits?
Are they doing less than they used to?
Look at who is becoming less active, not just who is inactive.
Are they still using the programs, benefits or experiences that create value for them?
Have they changed employers, roles or other aspects of their professional life?
Is their contact, employer and billing information still accurate?
The Insight
Member health changes before membership status does
Consider two members:
Still active but has gone from attending six events a year to one.
Highly engaged but changed employers six months ago, and their membership information hasn't been updated.
⚠ Same Status, Different Risk
Both are marked active in the AMS. But their renewal risks and the action needed are very different.
If these signals sit across different systems or reports, you may have the data without having the member story.

From Renewal Reporting to Proactive Retention
Instead of only asking
“Who didn't renew?”
Start asking
“Which member relationships are changing, and why?”
A decline in engagement may call for a more relevant reason to reconnect.
A drop in benefit usage may signal that the member isn't seeing enough value.
A change in employer may mean the member is still engaged, but their current information is no longer reflected in your records, making them harder to reach when renewal comes around.
The signal tells you where to look. The context tells you what to do.
And sometimes, the first step isn't another renewal email.
It's finding the member.
If a member has changed organizations and your records still point to their previous employer, reconnecting that member to your association can be the difference between losing visibility and having another opportunity to renew the relationship.
